Job Summary

The Project Management Office (PMO) role is responsible for managing end-to-end project life cycles, from strategic planning and requirements gathering to deployment and post-implementation support. Focused on digitalization initiatives within the Finance, Accounting, and Tax departments, this role involves translating business needs into technical requirements, mapping processes, analyzing root causes, and developing effective, practical solutions. The PMO ensures alignment with organizational goals, oversees project governance, risk management, and reporting, and facilitates cross-functional communication. This role requires creativity, adaptability, a strong focus on process improvement, and the ability to bridge business and technical teams through clear planning and data-driven decision-making.


Job Description:

1. Strategy & Project Planning

  • Holistic Project Oversight: Manage projects with an end-to-end business process perspective, avoiding siloed views, and ensuring the project scope aligns with organizational goals and cross-functional impact.
  • Stakeholder Engagement & Business Process Mapping: Conduct comprehensive interviews with all users and relevant stakeholders to understand current business processes, identify pain points at each stage, and fully capture user needs.
  • Root Cause Analysis & Creative Problem Solving: Identify the root causes of operational issues and develop innovative, practical, and effective solutions to address them.
  • Project Planning Support: Assist in developing detailed project plans, including project scope, timelines, budget estimates, and resource allocation.
  • Strategic Alignment: Ensure all project initiatives are aligned with the organization's strategic goals and priorities.

2. Process Development & Optimization

  • SOP Evaluation & Adaptation: Ensure all proposed changes or new processes are aligned with existing Standard Operating Procedures (SOPs), while critically evaluating whether SOP updates are needed in response to evolving business needs.
  • Process Improvement & Efficiency Optimization: Design and propose new business processes that improve efficiency in terms of time, cost, and Service Level Agreements (SLAs) at every stage.
  • Visual Modeling (Mockups & Flowcharts): Develop process flowcharts, wireframes, and user interface mockups to visualize proposed systems and workflows.

3. Project Execution & Governance

  • Project Governance: Ensure all project activities are carried out in accordance with agreed-upon standards, frameworks, and methodologies.
  • Project Delivery Assurance: Monitor and ensure that projects are delivered on time, within budget, and meet the expected quality standards.
  • Risk Management: Identify potential project risks early and develop and implement mitigation plans to minimize their impact.

4. Monitoring, Reporting & Decision Support

  • Project Monitoring and Reporting: Regularly track project status, including progress toward milestones, budget compliance, and risk indicators, and take corrective action as needed.
  • Stakeholder Reporting: Prepare and deliver clear and concise reports and updates to stakeholders on project performance and status.
  • Management Insight & Decision Support: Provide management with data-driven insights and recommendations to support informed decision-making.

5. Cross-Functional Communication & Coordination

  • Communication Bridge: Serve as the main liaison between project managers, project teams, and internal/external stakeholders.
  • Conflict Mediation Across Departments: Act as a mediator when disagreements arise between users and departments, ensuring alignment and shared understanding toward common project goals.
  • Information Support: Ensure stakeholders have access to timely, accurate, and relevant information to support decisions related to their projects.
  • Cross-Project Coordination: Facilitate coordination and conflict resolution between projects running in parallel or overlapping.

6. Post-Implementation & Continuous Improvement

  • Post-Implementation Training & Documentation: Develop tutorials, manuals, and learning materials to ensure end users can effectively adopt the new system or process.
  • User Support Post-Implementation: Provide ongoing support and assistance to users facing challenges in operating the new system.
  • System Monitoring: Regularly monitor newly implemented systems for any bugs or performance issues and ensure timely resolution.

  • Bachelor's degree of Management, Engineering, Information Technology, or other relevant majors
